Before You Begin

Required inputs

Know the external system, record period, user identifiers and who owns import failures.

Expected outcome

The intended source records are associated with the correct people and period, with exceptions understood.

Scope boundary

This guide does not define a universal API endpoint or payload. Use the contract for the supported connector and version.

A Practical Review Workflow

01

Confirm the interface

Identify the external system, required record types and supported integration for your installed version. Obtain its exact connection and authentication requirements before configuring it.

02

Prepare authorized access

Use the approved integration settings and protect credentials. General Settings includes an API activation option; activating an API does not by itself configure an external data source.

03

Map a sample user

Match an external user with the intended DeskGate user. Resolve renamed or duplicate accounts before broadening the mapping.

04

Validate the import

Review import results for a small known period. Compare a sample against the source system, then inspect the corresponding combined report.

When the Result Is Not What You Expected

No records arrive

Verify source availability, approved credentials, the selected period and the import result before retrying.

Records map to the wrong person

Stop expanding the import and correct ambiguous user mappings before using the report.

The report is incomplete

Compare import coverage with the report’s group, user and time filters.

Frequently Asked Questions

Will any HR or phone system connect automatically?

No. Confirm the supported interface and source-data mapping for the system you plan to use.

Should API keys appear in screenshots or support messages?

No. Share sanitized configuration descriptions and error details without credentials.

What proves the setup works?

A known source record appears once under the correct user and reporting period, and rejected or unmatched records are understood.
